Here, we describe how Labsense Oy processes personal data in accordance with the EU General Data Protection Regulation (GDPR) and other applicable data protection legislation. What Data We Collect We process the following categories of personal data: - **Contact details:** name, company, job title, email, phone, postal address. - **Communication:** messages in requests for quotation, support cases, email and telephone calls. - **Business data:** orders, deliveries, invoicing, service contracts and installation information. - **Technical data:** IP address, browser type, device information, and visitor statistics from cookies. ## 3\. Purpose and Legal Basis We process personal data for the following purposes: - **Manage requests for quotation and customer communication**, legal basis: legitimate interest and pre-contractual measures. - **Delivery, installation and service of instruments**, legal basis: contract. - **Invoicing and accounting**, legal basis: legal obligation. - **Marketing and newsletters**, legal basis: consent or legitimate interest. - **Website analysis and improvement**, legal basis: legitimate interest. ## 4\. Recipients and Transfers We share personal data with the following categories of recipients when necessary: - Companies within the Bergman & Beving Group for group-wide administration. - IT providers and system providers (CRM, email, hosting) as personal data processors. - Manufacturers and suppliers in connection with delivery, warranty, and service. - Carriers and logistics partners for delivery. - Authorities when we have a legal obligation. As a general rule, we do not transfer personal data outside the EU/EEA. If a transfer occurs, we use the European Commission's standard contractual clauses or another approved safeguard mechanism. ## 5\. Retention Period We store personal data only as long as necessary for the purposes stated above, or as long as required by law. Accounting records are stored for six (6) years according to Finnish accounting law. Customer and contract data are stored for the duration of the agreement and for a reasonable period thereafter for warranty and service obligations. Marketing data is deleted upon withdrawal of consent or after inactivity. ## 6\. Your Rights Under GDPR, you have the right to: - Access the personal data we process about you (register extract). - Request rectification of incorrect or incomplete data. - Request deletion of data ("the right to be forgotten") when there is no legal basis. - Request restriction of processing or object to processing. - Withdraw consent when processing is based on consent. - Obtain your data in a machine-readable format (data portability).
